When automated onboarding works correctly, a new hire’s first morning looks like this: they open their laptop, log in once, and everything is already there. Their Google Workspace account is live, their apps are provisioned, their shared drives are visible, and their calendar is populated with the right team events. No one filed a ticket to make any of it happen.
This article does not re-explain how SCIM provisioning works or why role-based group logic matters -- those mechanics are covered in depth in our HRIS-to-Google Workspace sync guide and our dynamic group management explainer. What is missing from the library is a single, chronological walkthrough of what actually fires, in what order, from the moment HR confirms a hire through the end of the first 30 days. That is what this article covers.
TL;DR
Automated Day One onboarding is a sequenced chain of events, not a checklist someone works through manually
The chain starts in your HRIS and completes before the new hire opens their laptop
Role-based group logic and SCIM provisioning run silently in the background -- the walkthrough here shows what each step produces from the new hire’s perspective
A single platform covering provisioning and access, SaaS spend management, app-permission visibility, and incident response removes the coordination overhead between four separate tools
Setup takes about 10 minutes via a single Google Workspace login, with no IT team or implementation project required
About the Author: ShiftControl is an IT operations platform purpose-built for Google Workspace, founded by the operators who built and scaled IT infrastructure at ExpressVPN from 100 to over 700 employees across seven global offices. The team has hands-on experience provisioning, securing, and managing hundreds of employees across multiple global offices without enterprise-grade budgets.
The Problem This Walkthrough Solves
Most teams have the right instinct -- connect the HRIS, set up some provisioning rules, and let it run. The breakdown happens because provisioning, group assignment, spend visibility, and app permissions are handled by different tools that do not share a timeline. The result is a Day One experience that is partially automated: the Google Workspace account exists, but Slack is not provisioned yet, the shared drive is missing, and nobody told finance about the new licenses.
A complete automated onboarding flow is a chain, not a parallel set of tasks. Each step below produces a concrete output that the next step depends on.
The Complete Day One Chain: What Fires, When, and What It Produces
Step 1: HRIS Confirmation Triggers the Chain (T-minus 3 to 5 days before start date)
HR marks the new hire as active in the HRIS -- HiBob, BambooHR, Gusto, Deel, or another supported platform. ShiftControl reads the employee record: name, department, job title, location, start date, and manager.
What this produces: A provisioning job queued to execute on the configured start date. Nothing visible to the new hire yet. No IT action required.
Step 2: Google Workspace Account Created (Day One, pre-login)
On the scheduled start date, ShiftControl creates the Google Workspace account automatically. The account is created with the correct organizational unit, display name, and email format based on your configured rules.
What this produces: A live Google account with SSO enabled. Credentials are delivered via your configured secure channel. The new hire can log in.
Step 3: Role-Based Group Memberships Assigned (simultaneous with Step 2)
The employee’s attributes -- department, seniority, location -- are evaluated against your dynamic group rules. Group membership is assigned automatically. Groups in Google Workspace control access to shared drives, calendars, and group-based app policies.
The mechanics of how rule logic works are covered in detail in the dynamic group management article. What matters here is the output.
What this produces: The new hire is a member of the correct groups before they log in for the first time. A marketing coordinator in Singapore and an engineer in London each land in different groups, with different tool access, without anyone making a manual decision at hire time.
Step 4: Connected Apps Provisioned (simultaneous with Steps 2 and 3)
ShiftControl provisions access to connected apps via SCIM and direct integrations. Apps that do not support SCIM natively are handled through ShiftControl’s direct integrations and password manager.
What this produces: On first login, the new hire’s app launcher shows the tools their role requires. No waiting for someone to add them to Slack, no day-two follow-up to provision the project management tool.
Step 5: MFA Policy Applied Automatically (Day One, first login)
MFA enforcement is applied at the account level based on your configured policy. The new hire is prompted to enroll on first login without requiring an IT administrator to manually apply the setting.
What this produces: Security baseline is set before the employee touches any business data.
Step 6: SaaS Spend Dashboard Updated (Day One, background)
Every license provisioned in Steps 3 and 4 is a cost event. ShiftControl surfaces those licenses in the spend dashboard immediately, attributed to the correct team and cost center. Finance sees the new per-head cost without waiting for a monthly reconciliation.
The broader context on why mid-lifecycle spend visibility matters is covered in the HRIS sync and role changes article. The Day One implication is simpler: new-hire license costs are visible the moment they are created, not when someone thinks to check.
What this produces: An accurate, real-time spend view that includes the new hire from day one. No retroactive cleanup required.
The Day One Onboarding Checklist (What Each Role Sees)
Action | Who Sees It | When |
|---|---|---|
HRIS record confirmed | HR | T-minus 3-5 days |
Provisioning job queued | ShiftControl dashboard | T-minus 3-5 days |
Google Workspace account created | Admin audit log | Day One, pre-login |
Group memberships assigned | Admin console, new hire’s Drive/Calendar | Day One, pre-login |
App access provisioned | New hire’s app launcher | Day One, first login |
MFA enrollment prompted | New hire | Day One, first login |
Licenses appear in spend dashboard | Finance/operator | Day One, background |
Audit trail available | Compliance review | Ongoing |
What the First 30 Days Look Like Without Manual Intervention
After Day One, the same rule logic that provisioned the new hire continues to run. If their role changes in the HRIS, group memberships update automatically. If they need a new tool, adding their department to a group rule provisions it for everyone in that department at once. If they leave, the same chain runs in reverse: access is revoked across all connected apps the moment the HRIS record is updated.
The 30-day view in ShiftControl shows app usage per person, so operators can confirm the new hire is actively using what was provisioned and flag anything unused before the next renewal cycle.
Frequently Asked Questions
Does ShiftControl work with all HRIS platforms?
ShiftControl integrates with HiBob, BambooHR, Omni HR, Deel, Shapes, Gusto, and others, syncing employee records to trigger provisioning automatically.
What if an app does not support SCIM?
ShiftControl manages both SCIM and non-SCIM apps using direct integrations and its password manager for apps that lack native SCIM support.
How long does setup take?
About 10 minutes via a single Google Workspace login. No implementation project or technical team is required.
What happens when an employee leaves?
Offboarding runs the same logic in reverse. Access across all connected apps is revoked automatically when the HRIS record is updated.
Is incident response included?
Yes. Cyber incident response (IR-1, via Blackpanda) is included in the ShiftControl subscription, not sold as a separate add-on.
Is ShiftControl certified under any security standards?
ShiftControl is SOC 2 compliant, ISO-aligned, and has signed the CISA Secure by Design Pledge.
