Michelle Lee, Head of Finance

If your team is growing quickly and you need to get organised, start earlier and don’t wait until you’re too big and scrambling.

Michelle Lee

Head of Finance at The Majurity Trust

As The Majurity Trust grew, onboarding and access management became increasingly difficult to manage within a small corporate team.

Passwords and shared accounts were handled insecurely — often shared via a Google Sheet containing usernames and passwords. Access provisioning depended on manual setup and internal coordination.

Onboarding new joiners required significant effort, and there was limited clarity around:

  • Who had access to which systems

  • Whether access was appropriate by department

  • How passwords were stored and shared

  • What governance policies were formally in place

The wake-up call came during a website migration outage that resulted in the organisation temporarily losing access to email due to a DNS misconfiguration. The disruption highlighted the fragility of their IT setup.

“That was when we realised we needed to take IT hygiene more seriously.”

Conversations with ShiftControl had already started — but the outage accelerated the decision.

Before and after ShiftControl

❌ Before

✅ After

Passwords shared via Google Sheets

Secure password manager with generated strong passwords

Manual onboarding across tools

Department-based access assignments

No true SSO enforcement

JumpCloud SSO centrally managed through ShiftControl

Limited SaaS visibility

Clear ownership and subscription tracking

Ad-hoc governance

Practical IT policies and documented controls

Why ShiftControl

ShiftControl felt well-suited to a small but growing organisation.

It was not overly enterprise or rigid — and it did not require in-house IT specialists to manage complex infrastructure.

“It felt really nurturing. I could ask any question — nothing felt like a dumb question.”

Stephen (Senior Director at The Majurity Trust), with an IT background, recognised what was missing structurally. ShiftControl provided both the platform and the guidance to implement it correctly.

At the same time, The Majurity Trust onboarded JumpCloud through ShiftControl, purchasing their JumpCloud subscription directly via ShiftControl as an official partner. This simplified procurement and billing while ensuring the setup aligned with their governance needs from day one. While JumpCloud provides SSO and password management capabilities, its native interface can be complex for non-technical teams. The Majurity Trust manages JumpCloud primarily through ShiftControl, using it as the operational control layer.

This combination delivered:

  • True SSO enforcement (not just ‘Sign in with Google’)

  • Secure password generation and sharing

  • Centralised access control aligned to departments

  • A simplified operational interface for managing identity and access

I didn’t even realise the difference between ‘Sign in with Google’ and true SSO before this.

Structured Implementation, Automation & Ongoing Support

Implementation was hands-on and structured step by step to build confidence rather than overwhelm the team.

ShiftControl worked closely with The Majurity Trust to map departments, define role-based access, and implement dynamic group rules tied to department and role. When someone joins, changes teams, or leaves, group membership updates automatically, which in turn drives app provisioning and deprovisioning across Google Workspace and JumpCloud. This significantly reduced reliance on manual access adjustments and made onboarding and offboarding far more consistent.

SSO and password management were rolled out in phases, with configuration coordinated carefully to ensure enforcement worked as expected across connected tools.

Beyond the technical configuration, the rollout included practical enablement. ShiftControl assisted with internal rollout communications so staff understood what was changing and why, conducted in-person training sessions in Singapore covering SSO and password hygiene, and provided escalation support whenever issues felt urgent or unfamiliar.

“Dan was detailed, patient, and generous with his time and knowledge. Even when my questions weren’t directly related, he helped me understand the bigger IT picture.”

Alongside the platform rollout, ShiftControl also provided light managed IT services and strategic governance support (delivered via a separate services agreement). This included developing fit-for-purpose IT and device policies, supporting incident response and disaster recovery planning, and delivering foundational security training for staff.

The process also created a “spring cleaning” moment across the SaaS stack.

“Going through the process with ShiftControl forced us to clean up our subscriptions — and we saved money.”

Support was highly responsive and delivered directly through Google Chat, where the team already works day to day.

“You were very responsive. If we reached out, the response was almost immediate — at the very least within the day.”

Enabling Governance & Charity Compliance

As a registered charity in Singapore, The Majurity Trust follows the Code of Governance for Charities, including an annual governance evaluation checklist that directly impacts charity status and operational permissions.

ShiftControl supported practical governance requirements by providing:

  • Clear visibility into who has access to what

  • Documented IT management policies

  • Structured access control aligned to departments

  • Improved password hygiene and enforcement

“The risk management work and IT policies were really helpful. It wasn’t just a template — it was built to fit our organisation.”

This allowed The Majurity Trust to check off internal governance requirements with confidence — not through box-ticking, but through operational discipline.

The Results So Far

1. Smoother onboarding

Onboarding is now clearly structured, with predefined access aligned to departments and roles.

“Onboarding is much smoother now. Access is clearly defined based on what someone should have from day one.”

2. Stronger password hygiene

Shared spreadsheets are gone. Passwords are generated, stored securely and shared through the password manager.

3. Clearer ownership and organisation

Department-based tool assignments improved clarity and accountability.

“Being able to assign tools by department really helped. You know who owns what, and access makes sense.”

4. Greater discipline as the team grows

“The earlier you get onto it, the more organised and disciplined your team becomes.”

We used to share passwords in a Google Sheet. Now passwords are stronger, generated properly, and shared securely.

In Their Words

If someone asked “should I use ShiftControl?”

“If your team is growing and you need to get organised, yes — start earlier. It’s easier to start clean when you’re smaller.”

One word to describe the experience?

“Making IT fun. I’m having more fun than I thought I would — I’m quite process-driven, and breaking things down clearly just made sense.”
